The Kuali Research Suite is now live and will serve as the university’s system of record for:

  • Institutional Review Board (IRB) protocol submissions
  • Proposal Routing Forms (PRFs) for all externally funded research 

We are using the remainder of May for internal stabilization. Beginning June 1, the IRB will transition to a hybrid submission model (PDF and Kuali).

During this period, active IRB protocols will be migrated into Kuali. Investigators will receive system notifications prompting them to review, confirm, and submit their records for IRB approval within the system. Effective August, all IRB and PRF submissions must be completed in Kuali. Submissions outside the system will be accepted only on a limited, case-by-case basis.

Additional training sessions and support will be offered throughout the summer, please keep an eye out for upcoming announcements

Migration Plan 

  • Migration will be conducted by IRB committee members functioning in the HRPO role
  • Active protocols will be prioritized:
    1. Faculty research, funded studies, and long-term projects
    2. Exempt studies
    3. Expedited studies, based on anticipated continuation
  • Migration is embedded in the approval process:
    • Protocols will be manually entered into Kuali
    • The system will notify investigators once records are created
    • Investigators will review, confirm, and submit for formal approval
  • All migrated protocols will receive new approval dates. 
  • The IRB will not enforce late continuing review penalties during the transition
Faculty Guidance 
  • Faculty may begin using Kuali now via SSO for IRB and PRF submissions
  • During the hybrid period, submissions may occur in either PDF or Kuali; however, migration into Kuali will be required for continued review/approval
  • Student submissions should be coordinated through faculty PIs during the transition
  • Faculty should be prepared to fully facilitate student submissions in Kuali beginning in August
